# UPS WorldShip and other Freight Software First, make sure ODBC data sources are configured properly as described [here](https://forum.evoerp.com/t/odbc-data-sources/70). ## Files and Fields To pass shipping information to the freight carrier software you will need to query the `BKARINV` table in the appropriate company. To pass the tracking info back to Evo-ERP you will need to create a record in the `ISSOBOX` table. UPS WorldShip only supports creating records, not editing existing records. ## Sending Data To the Freight Software Query `BKARINV` where `BKAR_INV_RTS='Y'` to process a batch of released orders or have a user enter a Sales Order Number to find a specific record using `BKAR_INV_SONUM` to process a single entry. Pull the following fields in to the freight carrier software: - `BKAR_INV_SONUM` Sales Order Number (Numeric 6) - `BKAR_INV_SHPCOD` Ship to Customer Code (Alpha 10) - `BKAR_INV_SHPNME` Ship to Customer Name (Alpha 30) - `BKAR_INV_SHPA1` Ship to Address Line 1 (Alpha 30) - `BKAR_INV_SHPA2_1` Ship to Address Line 2 (Alpha 30) - `BKAR_INV_SHPA2_2` Ship to Address Line 3 (Alpha 30) - `BKAR_INV_SHPCTY` Ship to City (Alpha 26) - `BKAR_INV_SHPST` Ship to State (Alpha 2) - `BKAR_INV_SHPZIP` Ship to Zip/Postal Code (Alpha 10) - `BKAR_INV_SHPCNT` Ship to Country (Alpha 30) - `BKAR_INV_SHPVIA` Shipping Method (Alpha 15) (Make sure you have defined Shipping Methods using SM-Q and have the default set for **Control Ship Via Codes** set to `Y` or `R` so there is a control of the syntax of Shipping Method if you are going to use the Shipping Method field instead of manually prompting the user.) ## Writing Back to Evo-ERP Create a record in `ISSOBOX` with the following: - `ISSO_BOX_SONUM` Sales Order Number (Numeric 6) - `ISSO_BOX_FRGHT` Freight Charge (Numeric 10.2) - `ISSO_BOX_TRACK` Tracking Number (Alpha 40) ---

Just an FYI, we also use BKARCUST:BKAR\_EMAIL\_1 to send the customer email notifications directly from UPS Worldship using Quantum View Notify which gives them a direct link to track the shipment as soon as you do End of Day. Of course, this means that you need to have the email address that should get notifications in that particular field. ---

Assuming a Single SO process, is there a required order or status of the SO for this to happen? Or does is not matter as long as it happens before the SO is Invoiced? Our normal process is: - Release SO (main page) - Enter package details in UPS (using Import Map on SO #), get cost, print label - Go back to SO-E second page, enter the Freight amount - Print Pack Slip - Process CC charges with SO-Hook program (which charges the SO total including Freight) - Print Invoices I am envisioning using this process: - Enter package details in UPS (using Import Map on SO #, with pass-back to ISSOBOX), print label - Release SO (freight and tracking will already be entered on second page) - Print PL, etc Is this right? ---

Two things I’ve learned. 1. This is a Batch-Only process. Which is a bit of a pain for us, but surmountable. 2. HOWEVER, it **appears** that it can only be run on “completed” shipments, meaning that you must run End of Day first. Unless I didn’t do something right - I tried to run the export and it said there were 0 shipments (I had selected “today” as the date to export).
